Filing documents to FYI

The Gap Portal integrates with  FYI so you can easily file your portal emails, attachments and documents.

How to set up the FYI integration

Attention
You must have administrator rights in The Gap  and in FYI to follow the setup steps in this article.
  1. Navigate to Main menu > Firm Settings
  2. Click the Connect to FYI button under FYI Integration in the bottom left-hand corner of the Firm Settings area.
  3. Complete the relevant fields in the popover prompt. To find your Access Key ID and Access Key Secret please follow FYI's help article here. Add your practice's FYI One Drive Admin User email or any active FYI user's email into the BCC email field (optional).
  4. Click OK to complete the integration.

  1. Autofile emails to FYI by adding the email address of your practice's FYI OneDrive Admin User or any active FYI user into the BCC Email (Optional) field. By default, all emails sent via the portal will BCC this address
    1. If you are working with a OneDrive User, the BCC email needs the FYI Add-in from within Outlook to work
  2. The next time you click Next in a document that can be sent via email from The Gap, you'll notice the FYI BCC email in the Action > Send as email > Recipients field. The BCC email will be added by default, but you can remove it by clicking x above the email address if you don't want to file the document in FYI
  3. For documents that cannot be emailed via The Gap, simply follow the on-screen prompts after completing a document to file the document (Note: If you do not select a client to file a document against, it will automatically file to the defaults you have set up in FYI - please see step 6 in this FYI help article)
Tip
When clients submit documents online, e.g. a proposal, they will automatically receive an email with a copy of their document and this email will BCC FYI if an active integration is detected.

Integration Option 2: Manually file documents after completion

  1. Emails and documents can be manually filed as separate PDFs to FYI - simply Complete a document in The Gap Portal, then follow the on-screen prompts to file the document
  2. If you do not select a client to file a document against, it will automatically file to the defaults you have set up in FYI - please see step 6 in this FYI help article

Filing to FYI from other areas of the portal


As well as filing to FYI upon completion of documents, you can file to FYI from your Inbox or the Client Activity tab.

Filing to FYI from your Inbox

  1. Navigate to Main menu >  > Inbox.
  2. Click Action  > File in FYI.
  3. Follow the instructions on the popover prompt.

Filing to FYI from a Client's Activity tab

  1. Navigate to Main menu >  > View Clients > select client > Activity tab.
  2. Check the checkbox for the document you'd like to file under the File in FYI  button.
  3. Click File in FYI .
  4. Follow the instructions on the popover prompt.

Configuring settings or disconnecting from FYI

Navigate to  Main menu >   >  Firm Settings
  1. Click the Configure Settings button under FYI Integration in the bottom left-hand corner of the Firm Settings area to edit your settings
  2. Click the Disconnect from FYI button under FYI Integration in the bottom left-hand corner of the Firm Settings area to disconnect your integration between the portal and FYI
